Team Activity Analysis Survey Overview

How to use the survey (a sample guide for survey users)

This guide is primarily based on the Desktop version with some notes on mobile version where it provides a different UI

Email Invite

When the survey is deployed in the Distribute step all selected managers will receive an email invite containing the survey link

Select the complete the survey button to launch the survey in either your desktop web browser or on a mobile device


Survey Completion

The Orgvue IAA Survey consists of 7 pages:

  1. Introduction: Read and understand the purpose of the survey and how to complete it
  2. About you: (optional page) Validate your information
  3. Team Data Confirmation: Validate detail about team
  4. Select activities: Search, browse and select the activities that your team do from the activity directory
  5. Time Allocation: For each selected activity, provide how much time each team member spends on it, how they are involved etc
  6. Other feedback: (optional page) To provide additional feedback if any
  7. Review and submit: Review your answers and edit if you notice any mistakes

General navigation



  • Click the 'Continue' button at the bottom right to proceed to the next page and 'Back' at the bottom left to go to the previous page
  • Click the 'Save' button next to the Continue button to save the progress and come back later to continue
  • Use the tabs across the top to go to a specific page



  • A. Use the left right arrows to navigate between pages
  • B. Select the page name to open the dropdown menu at the top
  • C. Navigate direct to a page by selecting from the list
  • D. Click the 'Continue' button at the bottom right to proceed to the next page



On the first page, you can find the instructions and guidance for filling this survey out

Note: If the survey is configured to include terms & conditions or a privacy notice, you should read the content and select Yes to proceed

Click the 'Begin' button to start answering questions

About you


If selected for display during the survey Customize stage you may be presented with:

  • Validate your information - Data relating to the participant will be displayed and may be edited if incorrect

  • Individual working hours:

    • Please estimate and enter your average weekly working hours and days
    • Holidays are automatically taken into account for any annual calculations
    • Use ‘+’ and ‘-’ buttons to set the value or you can directly enter a number into the text box

Team Data Confirmation


Depending on the options selected during the survey Customize stage team data values will be presented on this screen for confirmation and amendment if required:

  1. Working Hours: This is a mandatory field for the survey so will always be presented for confirmation and editing using the + and - buttons
  2. Editing a value will open a dropdown list to select the new value from
  3. The scroll bar may be used to view additional data fields if selected
  4. Select Continue to progress to next stage

Select activities


  1. Select team member from list
  2. Select activities for the team member
  3. Chosen activities will be displayed
  4. The Copy and Paste buttons can be used to copy activities from one employee to another to speed up input


  5. Once all activities have been selected for each team member select Continue

Note: the survey captures time spent and other activity data for the activities in the lowest level in the activity hierarchy, then the measures (e.g. FTEs involved) are rolled up to the activities/processes higher up

You can come back to this page at any point to unselect the selected activity or add new activity

Time Allocation

On this page time is allocated to each activity conducted by each team member and may also include additional detail for each activity


  1. Select the team member to allocate time to activities
  2. For each activity chosen on the Select Activities page enter the percentage of time spent doing this activity by this team member

    Depending on options selected during the survey Customize stage, up to four additional questions may be presented

  3. Use the buttons to expand each activity and enter responses
  4. Values for questions my be copied and pasted between team members to increase speed of survey completion
  5. Select next team member and repeat steps 1 - 4 for each person

Copy and Paste Values

Values may be copied from one employee to another by:


  1. Select the Copy/paste values button
  2. Select which answers to copy
  3. Select the activities to copy
  4. Select which employees to paste values to
  5. Select Paste to complete the processes

Note Copy/Paste values will only paste responses where the same activity has been selected for both employees in the Select Activities step of survey completion

Once each team member has time entries within the valid range, the progress bar will show blue and a green tick icon will be displayed for each employee

Optional customizable additional feedback questions appear on this page



A summary of all responses are displayed on this page and organized into pages


A red error message will appear at the top of this page if there are any missing inputs throughout the survey

This message will specify the pages that have missing responses

It will not be possible to submit the survey until all the compulsory questions have been answered and total allocated time is within the valid range


Note: the missing input flag (the red dot) is also placed next to the page name on the page navigation menu

You can jump to a specific page using the navigation menu at the top to edit your responses

Click the 'Submit' button to submit the survey
